How we handle your information.
The short version. We collect what you give us to quote and do your job — name, phone, email, property address, project details, and any window photos you choose to share. We use it to reply, schedule, and estimate. We never sell it. Analytics cookies (Google Analytics and HubSpot) load only if you click OK on the cookie banner, and you can turn them off any time under Cookie Settings in the footer. 1. Who we are
Apex Window Coverings (“Apex,” “we”) is a window film and window coverings installer based in Santa Rosa, California, serving the San Francisco Bay Area. This policy covers apexwindowcoverings.com, our estimate and visualizer tools at tools.apexwindowcoverings.com, and information you send us by email, phone, or text. It is written to meet the California Online Privacy Protection Act.
2. What we collect
Information you give us
- Contact details: your name, phone number, and email address.
- Property details: the property address or city, the rooms and windows involved, what you want to solve (heat, glare, privacy, security, decorative), sizes and counts you enter, and anything you write in a message box.
- Photos: pictures of your windows or rooms that you choose to upload or send us. The film visualizer works on your photo inside your browser; the photo leaves your device only if you request a hand-made preview or email it to us.
- Job records: if you hire us — measurements, quotes, invoices, warranty details, and notes needed to do the work.
Information collected automatically
- Server logs. Our hosting provider records standard connection data for every visit: IP address, browser and device type, pages requested, referring page, and time. We use this for security and to keep the site running.
- Analytics — only with your consent. If you click OK on the cookie banner, Google Analytics and HubSpot set cookies and record how the site is used: pages viewed, time on page, approximate location, device, and the site you came from. If you later fill in a form, HubSpot can connect your earlier visits to your contact record so we can see what you looked at before reaching out. See section 5.
We do not knowingly collect information from children under 13, and this site is not directed to them.
3. How we use it
- To answer your inquiry, schedule a site visit, and prepare an estimate or quote.
- To do the job, invoice it, and honor any warranty.
- To keep the site secure and understand how it is used (analytics, only with consent).
- To contact you about your inquiry by phone, text message, or email — only if you agreed to that on the form. Message and data rates may apply; reply STOP to end texts. Consent to texts is never a condition of buying anything from us.
- To meet legal, tax, and contractor-licensing record-keeping obligations.
We do not sell your personal information, and we do not use advertising networks or ad-tracking pixels (no Meta pixel, no retargeting) on this site.
4. Who we share it with
We share information only with the service providers that run our business, and only as needed for the purposes above. They may not use it for their own purposes.

We may also share information with our accountant, insurer, or attorney when needed; with a subcontractor we bring onto your job (limited to the job details they need); when the law requires it; or, if Apex is ever sold, with the buyer under the same protections. We do not share with data brokers.
5. Cookies, tracking, and your choices
Before you choose, this site sets no cookies. The only thing stored is your answer to the cookie banner (in your browser’s local storage, key apex-consent-v1), so we don’t keep asking.
If you click OK, two analytics services load:
- Google Analytics 4 — cookies beginning with
_ga(kept up to 2 years). Google explains what it collects at policies.google.com/technologies/partner-sites. - HubSpot — cookies including
hubspotutkand__hstc(kept up to 6 months),__hssc(30 minutes), and__hssrc(session). HubSpot’s cookie list is at knowledge.hubspot.com.
Third parties and cross-site tracking. Google and HubSpot may collect information about your online activity over time and across different websites when their services are active, under their own privacy policies. We do not combine their data with yours except that HubSpot links your visits on this site to your contact record if you submit a form.
Changing your mind. Click Cookie Settings in the footer of any page to switch analytics on or off. You can also delete or block cookies in your browser.
Do Not Track and Global Privacy Control. If your browser sends a Do Not Track (DNT) or Global Privacy Control (GPC) signal, we treat it as “no”: analytics never load and the banner is not shown.
6. How long we keep it
- Quote requests that don’t become jobs: up to two years, so we can pick the conversation back up if you return.
- Job records (quotes, invoices, measurements, warranty): as long as needed for tax, licensing, and warranty obligations — generally up to seven years after the job.
- Photos: deleted when the estimate or job is closed, unless you ask us to keep them or give us written permission to use them.
- Server logs and analytics: kept by the providers above for their standard retention periods.
7. Your photos
Photos you share stay yours. We use them only to prepare your estimate and plan the work. We will never post a photo of your home or business in our marketing, gallery, or social media without your separate written permission, and you can withdraw that permission at any time.
8. Reviewing, correcting, or deleting your information
Email alex@apexwindowcoverings.com or call (707) 293-0264 and tell us what you’d like to see, fix, or delete. We will confirm within a reasonable time, normally 30 days. We may need to keep records of completed jobs for tax, licensing, or warranty reasons, and we will tell you if so.
Apex is a small business that is not currently subject to the California Consumer Privacy Act’s thresholds; we honor the requests above as a matter of policy. California’s “Shine the Light” law does not apply to us because we have fewer than 20 employees, and we do not share personal information with third parties for their direct marketing anyway.
9. Security
The site is served over HTTPS. Your information is stored with established providers (HubSpot, Google, Netlify) that use industry-standard safeguards, and access is limited to the people who need it to serve you. No method of transmission or storage is completely secure, so we cannot promise absolute security; if we ever learn of a breach affecting your information, we will notify you as California law requires.
10. Changes to this policy
When we change this policy we will post the new version here with a new effective date. For a material change, we will also show a notice on the homepage for at least 30 days. Continued use of the site after that means the updated policy applies.
